We are seeking a highly organized and dynamic Executive Assistant to support our General Manager (GM).

Job Description

Overview:

We are seeking a highly organized and dynamic Executive Assistant to support our General Manager (GM). This critical role involves a broad set of administrative, logistical, and project management tasks to enhance the efficiency of our executive team and support our organizational objectives.


Key Responsibilities:


Executive Support: Act as the primary support to the GM and offer additional assistance to other executive team members to achieve company goals and streamline operations.


Callender management: Manage the GM Callender, organizing and maintaining the different meetings and making sure that the rules in the GM Callender are respected.


Process Optimization: Maintain and enhance internal processes supporting high-level executives across the company, ensuring efficient workflow management.


Communication Management: Be the main point of contact among internal and external executives, managing communication for various projects and tasks.


Project and Event Planning: Manage and prioritize projects to align with senior executives’ priorities and organizational goals. Plan and coordinate both internal and off-site events.


Scheduling and Logistics: Handle complex calendar management, scheduling, travel arrangements, and logistics for the GM.


Administrative Support: Perform various administrative tasks including document preparation, preparing presentations, typing minutes of different meetings, creating spreadsheets, and maintaining filing systems and contact databases with tools like HubSpot


Confidentiality: Uphold a high standard of professionalism and confidentiality in all aspects of work.


Other ad hoc tasks: Be prepared to undertake various activities as required by the General Manager.

Organizational Skills: Demonstrates exceptional time management abilities, ensuring efficient handling of tasks and responsibilities. Capable of multitasking and prioritizing tasks effectively in a fast-paced environment.


Communication Skills: Possesses excellent verbal and written communication abilities, essential for clear and effective interactions. Maintains professional email and telephone etiquette while drafting comprehensive reports, letters, and presentations.


Interpersonal Skills: Exhibits strong interpersonal skills, enabling effective collaboration with diverse teams. Skilled in conflict resolution and negotiation, fostering a harmonious working environment.


Technical Skills: Proficient in office software such as Microsoft Office Suite and Google Workspace. Familiar with project management tools like Confluence and has a basic understanding of databases and CRM systems.


Language required: Must be fluent in English. Multiple European languages is a plus.


Qualifications:

Proven experience as an Executive Assistant or similar role.

Familiarity with office productivity tools and a knack for adopting new technologies.

Educational background relevant to the role preferred.
